VENDORS

BOOTH FEES

Booth fee covers all three days of the festival and includes tent, (1) 6ft table, (2) folding chairs, sides, one light, and guttering for double and triple booths, if required. 

  • 10’×10′ Single Booth: $750.00. Includes two 3-day general admission wristbands and one (1) on-campus parking pass.

  • 10’×20′ Double Booth: $1,250.00. Includes four 3-day general admission wristbands and one (1) on-campus parking pass.

  • 10’×30′ Triple Booth: $1,850.00. Includes six 3-day general admission wristbands and one (1) on-campus parking pass.

  • Trailer: $850. Includes four 3-day general admission wristbands and one (1) on-campus parking pass

REFUNDS

No refunds will be provided.

OPTIONAL FEES

  • Tent Camping: $140.22 (includes tax & fees) (limit 2 per booth) Includes room to park one vehicle and still have room for your tent. Tent camping is walking distance to the stages anda  shuttle runs during festival hours for your convenience. Showers and restrooms available. Reservation is for check in Thursday and check out Monday. Spots are first come, first serve. NO ELECTRIC HOOK UPS ARE AVAILABLE 

  • RV Dry Camping: $365.11 (includes tax & fees) (limit 2 per booth) Reserved space to park your trailer or RV with no access to power or water. Walking distance to the festival and on the shuttle route as well. Showers and restrooms available. Check in Thursday and check out Monday. 

  • Vendor will receive code to use for booking spots after reservation fee has been paid. 

VENDOR CREDENTIALS

Each 10’x10’ space receives two (2) 3-Day general admission wristbands and must be worn by vendor(s) according to festival instruction. Vendors without proper credentials will not be allowed access on festival grounds. Vendor is allowed to exchange a 3-Day general admission wristband for four (4) single day general admission passes (good for any day). Two (2) on campus vehicle parking pass may be issued for each vendor and must be displayed according to the instruction in the credentials package or on the pass. Vehicles without the issued parking pass will not be allowed access on the festival grounds and those without a parking pass, or parked in the wrong location, may be removed at owner’s expense.

GENERAL BOOTH INFO

Vendors will be based on criteria as developed by Earl Scruggs Music Festival  and implemented in a manner that creates an optimum competitive environment for all vendors. Tents will be provided and installed by ESMF. Vendor is responsible for constructing, furnishing, maintaining and removing your own booth materials, leftovers, and trash. Vendor must have:

  • An attractive, professional, maintained booth appearance

  • A professional looking sign

  • Quality merchandise

  • Courteous, friendly, music-loving personnel

Any damage to the tent during the festival will be the responsibility of the vendor. No tarps or personal sides may be used. Tents are not to be moved or altered by vendors. Vendor assignments are final. No changes or substitutions may be made on-site. Vendors are only to use the space rented. Extending beyond the boundaries of the rented space could result in additional fees and/or expulsion from the festival. All business or other activity, for which the vendors have rented space, must be conducted within the designated booth space only. No distribution, canvassing, flyers, nor vending of any kind may be done by strolling through the festival grounds.

 

INSURANCE

Tryon International Equestrian Center requires you to purchase and provide a valid certificate of insurance policy with a $1,000,000 minimum coverage naming Tryon Equestrian Properties, LLC as additionally insured. {Tryon International Equestrian Center 25 International Blvd, Mill Spring, NC 28756} Failure to provide a valid certificate of insurance prior to arrival will result in the release of your booth. 

 

ELECTRICITY

ESMF will provide a light for each 10’x10’ tent. Vendors are permitted to add extra lighting, provided the circuit capacity allows. ESMF retains the right to instruct a vendor to reduce their power usage if excessive power is being drawn. Vendors must only connect to their designated power source. Vendors are welcome to bring their own quiet generator. ESMF reserves the right to require vendors to turn off excessively loud generators while music is being played on any stage.

Please note: An additional charge will apply for vendors requiring 30 or 50 amp power.

Vendor Check-In & Setup

Vendor check-in for all booths will begin on festival week Thursday between 11am-5pm. Vendors MUST check-in upon arrival to receive booth location information as well as passes and parking credentials. ESMF staff will be available on site until 5:00 p.m. to show you to your tent location. 

HOURS OF OPERATION

Earl Scruggs Music Festival Vendor hours of operation are:

  • *Optional* Thursday 6-8pm

  • Friday 10am-7pm. (festival hours – 10am-11:30pm)

  • Saturday 10am-7pm (festival hours – 9am-11:30pm)

  • Sunday 10am-7pm. (festival hours – 10:30am-11:30pm)

  • *Optional* Monday 10am-2pm

Vendor is required to be open to the general public for the duration of the entire festival. Closing to the public before the end of the event or not opening on time to the general public is grounds for exclusion from participating at future events. Performances typically will continue until 11:30 p.m. on, Friday, Saturday and Sunday. any vendor wishing to remain open may do so. Vendor closing and demolition will not begin until Monday morning. Vendor can start as early as they’d like Monday, but must be fully moved out by 5pm. Early close and demolition will not be allowed.

 

INVENTORY REPLENISHMENT

Vendor inventory replenishment will take place between the hours of 11:00 pm – 12:00 am as well as the hours of 6:00 am – 9:00 am.  Inventory replenishment is solely the vendors responsibility. 

Signage

All vendor spaces must have a professional looking sign. ESMF retains the right to remove any inappropriate signage. If you have questions about your signage, please contact the vendor Coordinator prior to the festival.

WEATHER

This event takes place rain or shine. Vendors should be prepared for inclement weather. Most vendor spots will be on concrete, but please check with your vendor coordinator to be sure.

SAFETY & SECURITY

All vendors must comply with fire codes and instructions from the Fire Marshall.  Failure to do so may result in expulsion from the festival.  North Carolina State Fire Codes also state that if an open flame or other device emitting flame or fire is used, an appropriate fire extinguisher must be on hand.  Fire extinguishers must have a current inspection date within one year.  A representative will check all fire extinguishers to see that they meet NC fire code requirements.  The vendor will also be required to present a certificate executed by an acceptable testing laboratory, certifying that any decorative materials meet the requirements for flame resistance as determined in accordance with both the small scale and large scale tests in NFPA 701, and that such flame resistance is effective for the period specified by the permit. Vendors will be responsible for the security of their vendor spaces.  Earl Scruggs Music Festival & Tryon International assumes no responsibility for items lost or stolen from the vending areas.

TAXES

The collecting – and reporting – of this tax is the responsibility of all vendors who engage in retail sales.  An application fee for North Carolina Sales Tax license is no longer required, but you must obtain an NC Sales Tax Number.  If you need to acquire a NC Sales Tax Number, contact the NC Department of Revenue at www.dor.state.nc.us, application form AS/RP1 or call at 1-877-252-3052.

FESTIVAL POLICY

Earl Scruggs Music Festival  is held rain or shine.  We recommend bringing clothes for all seasons! For your safety and the consideration of all guests and our campus, the following are restricted from ESMF:

  • Weapons of any kind

  • Any glass containers

  • Golf Carts

  • Large backpacks, purses, or any bag over 14"x17"x6" in size

  • Bags that are not clear

  • Food and drink

  • Alcohol

  • Illegal substances of any kind

  • Umbrellas

  • Coolers or picnic baskets

  • Lasers

  • Glow Sticks

  • Stickers

  • Silly string

  • Confetti

  • Glitter

  • Spray paint

  • Pets (Service dogs will be permitted)

  • Glass containers and metal aerosol cans, including sunscreen in aerosol cans

  • Detachable lens cameras

  • Recording devices of any kind including professional recording equipment, GoPros, audio recording equipment, and video recording equipment

  • No unauthorized vendors will be permitted

  • No solicitations, handbills, sampling, giveaways, etc.

  • Remote-controlled vehicles or aircraft, including drones

  • Sunshades and tents

  • Blankets over 10’ x 10’.

No one is permitted backstage without proper credentials (wristband).

IMPORTANT DATES

  • Applications due: July 1, 2026

  • Vendor fees due: August 1, 2026

  • Proof of insurance due: August 1, 2026

ACCEPTANCE

  • Acceptance notifications will be emailed 

  • Vendor fees will be due no later than August 1, 2026.

  • Payments must be made through the ESMF Vendor payment link that will be provided upon acceptance

  • All returned checks will be an automatic disqualification of acceptance.

  • Proof of Insurance is required.

  • No vendor will be allowed to set up on festival grounds unless full payment has been received.

  • It is understood that any policies, procedures or instructions that have been sent to vendors of the festival at any time are considered a part of the agreement.
